Booking terms and conditions 

 
Please read the terms and conditions that apply to all bookings for NHS Confederation events that have fees attached to them.

Annual conference bookings

  • You will be given the opportunity to book your sessions and networking activities once the programme has been finalised. We will contact you with the appropriate booking details.
  • Delegates will receive confirmation of their booking within ten working days of receipt of the booking. Registration details and a map will be sent two weeks before the annual conference.
  • All delegates must confirm their name, job title and organisation four weeks prior to the event. Unless you specify when booking you will be added to the delegate list that will be circulated to conference delegates and exhibitors. Any changes to your details received less than four weeks prior to the event may not be included on the delegate list. Amendments can be made at the registration desk at the event.
  • To qualify for the group booking discount delegates must book as a group. The discount applies to conference places only (i.e., not dinner places) and is available to NHS organisations and commercial partners.
  • Once a group booking is made the names of delegates attending in the group can be amended but the number of delegates attached to the group booking can not.
  • Conference places are not transferable, however delegate substitutions are possible. Please make these changes in writing four weeks prior to the event.
  • All cancellations must be made in writing. If you cancel your booking less than ten weeks prior to the event you will be charged 50 per cent of the delegate fee. If you cancel less than six weeks prior to the event you will be charged the full delegate fee. This also applies to group discount bookings. If you cancel any dinner booking less than six weeks prior to the event you will be charged the full fee. This charge covers the cost that we incur on your behalf.
  • We are asking all delegates to provide us with their mobile phone number so that, if necessary, we can still communicate with you once we are all on-site. This information will not be shared with any third party and will only be used to contact you with specific information about the conference (such as programme changes). 
  • There may be an official photographer on site. The photographs will be used by the NHS Confederation and may be reproduced by some of our supporters for promotion and marketing pruposes. Please let the photographer know if you do not wish to be photographed.
  • Programme details are correct at time of going to press. We reserve the right to make changes where necessary.

All other events

  • Registration details and a map will be sent two weeks before the event.
  • All delegates must confirm their name, job title and organisation two weeks prior to the event. Unless you specify when booking, you will be added to the delegates list that will be circulated to conference delegates and exhibitors. After this time changes will not be reflected in the delegate list. Amendments can be made at the registration desk at the event.
  • Delegate substitutions are possible, please make these in writing.
  • Cancellations received less than two weeks prior to the event will be charged at the full price. This will cover costs that we incur on your behalf.
  • Due to limited space priority will be given to NHS Confederation members.
  • There may be an official photographer on site. The photographs will be used by NHS Confed and may be reproduced by some of our supporters for promotion and marketing pruposes. Please let the photographer know if you do not wish to be photographed.
  • Programme details are correct at time of going to press. We reserve the right to make changes where necessary.
